Program Coordinator (Part-Time)
The Program Coordinator for 3Shape Academy is responsible for ensuring the smooth, efficient, and professional daily operation of the Academy’s physical training facility in Dallas, Tx. This role is a part-time position and will support on all on‑site logistics for educational programs. The ideal candidate will maintain a state-of-the-art learning environment, and supports instructors, speakers, and participants to deliver exceptional training experiences. You are highly organized, service‑oriented, proactive, and comfortable managing both facility operations and hospitality‑driven event coordination.
The Program Coordinator’s schedule follows training operations: normally Tuesday–Saturday, shifting to Monday–Friday when no Saturday courses are planned.
Key Responsibilities
Facility & Operational Management
Oversee the day‑to‑day operations of the 3Shape Academy facility, ensuring training rooms, demo areas, and equipment are fully prepared and functioning.
Maintain inventory of supplies, consumables, models, and training materials; coordinate procurement as needed.
Serve as the liaison with building management, vendors, and maintenance partners.
Manage readiness of 3Shape devices and dental equipment (training provided).
Training & Event Logistics
Schedule and coordinate all Academy courses, workshops, certifications, partner events, and internal training sessions.
Support instructors and guest speakers with setup, equipment, materials, and A/V needs.
Manage participant communications—including confirmations, reminders, pre‑course instructions, and post‑event follow‑ups.
Facilitate onsite check‑in, badges, catering arrangements, and compliance with safety protocols.
Customer & Learner Experience
Create a welcoming, professional environment for all attendees by providing attentive, high‑quality support.
Act as the primary onsite point of contact for participants, addressing questions, concerns, and special requests.
Gather feedback from learners to support continuous improvement of the Academy experience.
Track attendance, manage rosters, and support LMS data entry where needed.
Support budgeting, vendor invoicing, and cost reporting for site operations.
Document procedures, event run‑books, and facility standards to ensure consistency and scale.
Qualifications
1-3 years of experience in event coordination, training center operations, hospitality, office administration, or a similar role.
Strong organizational and multitasking skills with a high attention to detail.
Customer facing/customer relations experience a plus.
Excellent written and verbal communication skills.
Ability to work onsite and support occasional early‑morning or evening events.
Comfortable working with technology, A/V systems, and standard office software.
